Glossary of Fields for Your Message Templates

The Custom Field Picker in Everyware allows you to pull in information from across your Everyware site for your SMS templates. This help article defines each field you can use in your message templates and where that information comes from across your Everyware site.

 

Messaging Center Fields

Fields you can use to quickly reply to customers from the View Messages center.

[STAFFFIRSTNAME]

First Name of staff person signed into Everyware who is currently replying to a customer message. The person whose initials appear in the top right hand side of the screen.

[STAFFLASTNAME]

Last Name of staff person signed into Everyware who is currently replying to a customer message. The person whose initials appear in the top right hand side of the screen.

 

Business Profile Fields

Items that will appear in the company's Business Profile under the Settings menu in Everyware. Many items are used for different messaging and payment functions throughout the site

[BUSINESSCITY]

The city shown for the main business address on the business profile page.

[BUSINESSNAME] The "Doing Business As" DBA name of the business. NOT to be confused with the legal name of the business, which also appears in the profile.
[BUSINESSOWNERFIRSTNAME]

The first name of the main point of contact for the business, usually the business owner. This name appears in the Profile tab under the Settings menu in Everyware.

[BUSINESSOWNERLASTNAME] The last name of the main point of contact for the business, usually the business owner. This name appears in the Profile tab under the Settings menu in Everyware.
[BUSINESSPHONE]

Phone number of business. This is the number to which calls will be forwarded from your company's assigned mobile number. It's often the number used for customers to call after hours.

[BUSINESSWEBSITE]

The website address/URL listed in the business profile.

 

Customer Contact Fields

Fields you can use to quickly reply to customers from the View Messages center. 

[CUSTOMERADDRESS] Address shown in the contact's profile.
[CUSTOMEREMAIL] Email address shown in the contact's profile in the optional field: Email
[CUSTOMERFIRSTNAME] Name shown in the contact's profile in the required field: First Name*
[CUSTOMERLASTNAME] Name shown in the contact's profile in the required field: Last Name*
[BIRTHDAY] Date shown in the contact's profile in the optional field: Date Of Birth
[CELLPHONE] Main phone number shown in the contact's profile in the required field: Mobile Phone*

 

Batch Billing Fields

Fields you can use to quickly reply to customers from the View Messages center.

[BATCHBUSINESSNAME]

Custom name used in the API to control the business name appearing in a text message.

[BATCHBUSINESSNAMESMS]

Secondary Custom name used in the API to control the business name appearing in a text message.

[BATCHBUSINESSPHONE]

Custom phone number to show within a text message

[BATCHSERVICE]

Name of line item, the product or service you’re charging for that appears on the sheet. You may use this field from the Custom Field Picker in SMS Templates when

[DUEDATE]

Due date for the payment, loaded with the payment batch setup.

 

Invoice Fields

Items used in the secure invoices Everyware generates for Pay by Text, Pay by Email and the transactions generated by the Create Payment tool. Many if these items appear on the invoices and/or receipts customers will receive.

[SERVICE]

Name of the service or product being purchased. Pulls from Services set up under Payments > Services Menu. You may use this field from the Custom Field Picker in SMS Templates when …

[ORDERNUMBER]

Unique identifier for a transaction created through the Create Payment (Virtual Terminal) tool in Everyware. It is NOT the Invoice ID# that Everyware generates which appears at the top of a a secure invoice link.

[DESCRIPTION]

Name of line item, the product or service you’re charging for that appears on the sheet. You may use this field from the Custom Field Picker in SMS Templates when …

[AMOUNT]

The Total Amount Due including tax/fees (if applicable) on a customer invoice.

[STATEMENTDESCRIPTION]

The phrase that will appear on the customer's bank statement once a transaction is processed. Use this field if you want to quickly answer the customers who ask, "Where do I see this payment on my bank account?" Simply reply, "The charge will apper on your account as [STATEMENTDESCRIPTION]." This field is set by Everyware at the administrative level. To change, contact support@everyware.com

[PAYMENTDATE]

Date the transaction was processed/paid by the customer. "Yes, you paid your bill for [SERVICE] on [PAYMENTDATE] according to our records."  It pulls the most recent payment made

 

Appointment Fields

Create SMS templates using these custom fields to support auto appointment reminder text messages sent from the Automation tab. Or text customers from the Messaging page Custom Field Picker when you're telling them about a component of their scheduled appointment. Fields pull from the Appointments/Calendar section of Everyware.

Ex: Hi, [CUSTOMERFIRSTNAME]! Your appointment for [APPOINTMENTSERVICE] is scheduled for [APPOINTMENTDAYOFWEEK], [APPOINTMENTDATE] from [APPOINTMENTSTARTTIME] to [APPOINTMENTENDTIME].

[APPOINTMENTDATE]

Date (MM/DD/YYYY) of contact's scheduled appointment in the Everyware calendar.

[APPOINTMENTDAYOFWEEK]

Day of the week (Mon,Tues,Wed,Thurs,Fri) for contact's scheduled appointment in the Everyware calendar.

[APPOINTMENTDURATION]

Number of Minutes (1 hr 15 min / 75 min) of scheduled appointment in 15 minute intervals.

[APPOINTMENTSTARTTIME]

Time of day (02:15 PM) appointment is scheduled to start, according to company's time zone settings.

[APPOINTMENTENDTIME]

Time of day (02:15 PM) appointment is scheduled to end, according to company's time zone settings.

[APPOINTMENTSERVICE]

The type of service/product the customer is scheduled to recieve during the scheduled appointment time. Pulls from list of Services set up under Payments Menu.

 

Provider Fields

Providers are usually clinical staff who practice (offer services) across the company's different locations. For example, a Neurology Provider would be associated with the Neurology Subcenter. Both are set up under the Business Settings tab in Everyware.

Example SMS, "Your doctor is [PROVIDERTITLEPBT] [PROVIDERFIRSTNAME] [PROVIDERLASTNAME] aka [PROVIDERFULLNAME] and this provider's name will appear as [PROVIDERFIRSTNAMEPBT] [PROVIDERLASTNAMEPBT] aka [PROVIDERFULLNAMEPBT] on invoices texted or emailed to customers" will appear as "Your doctor is aka and this provider's name will appear as aka on invoices texted or emailed to customers."

[PROVIDERFIRSTNAME] First name of provider who practices across sub-centers
[PROVIDERLASTNAME] Last name of provider who practices across sub-centers
[PROVIDERTITLE] Title of provider who practices across sub-centers. Either Dr. Mr. Mrs. Ms.
[PROVIDERFIRSTNAMEPBT]

First name of provider who practices across sub-centers as it will appear on invoices.

[PROVIDERLASTNAMEPBT] Last name of provider who practices across sub-centers as it will appear on invoices.
[PROVIDERFULLNAMEPBT]

Full name of provider who practices across sub-centers as it will appear on invoices.

[PROVIDERTITLEPBT] Title of provider who practices across sub-centers. Either Dr. Mr. Mrs. Ms. as it will appear on invoices.

 

Subcenter Fields

Subcenters are used for companies that have traveling professionals. For example, Dr. Smith might work at Clinic A, Clinic B, and Clinic C but also for Specialty (Department) A, Specialty (Department) B, or Specialty (Department) C in the different clinics. Use Subcenters in the Settings > Sub Centers tab to define the subcenters i.e. specialties i.e. departments/units/floors located across different sites within the company.

Providers are associated with subcenters established in the Settings > Subcenters Tab

Ex: "Hello, Your provider practices in the [SUBCENTER] and charges associated with services for this specialty will appear on invoices as [SUBCENTERNAMEPBT]."

[SUBCENTERNAME] Name of center/dept/unit. Ex: Neurology Dept
[SUBCENTERDESCRIPTION] Describe the center/dept/unit. Ex: Neurology Dept services are provided in this subcenter across Austin, Texas Locations

 

Custom Fields

There are 7 Custom Fields available. They can be renamed and defined in the business settings menu under the Custom Fields tab. Changes made there apply to the entire sales site/company.

Custom Fields appear in contact profiles. They can be added to payment links and show on Page 2 of the payment pages if "Add to Pay by Text" is toggled on in the Custom Field settings.

They can also be used in Pay by Text batch imports. For example, a company can define CustomField1 as “Child Name 1” and add the CustomField1 column to a batch import spreadsheet. Then, if a customer needs to pay a bill for themselves and one for their child, your Pay by Text SMS can read, “Hello [CUSTOMERFIRSTNAME], Your daughter [CUSTOMFIELD1]’s membership bill in the amount of [AMOUNTDUE] is due by [DUEDATE]. Please tap the secure link here to pay…”

Subscription Plan Dynamic SMS Fields

These dynamic SMS fields are included by default in the 'Subscription New, Subscription Trial Period Reminder, Subscription Cancellation, Subscription One Time Payment Receipt, and Subscription Recurring Payment Receipt SMS Templates for Everyware Subscription Plans. They can be edited and removed if desired, in the Add/Edit Plan window for each plan on a sales site. 

 

[CUSTOMERFIRSTNAME]

Name of the contact who is signed up for the subscription plan. The person receiving the subscription plan text message. Pulls the first name from the contact profile in Everyware.

[PLANNAME]

The name of the subscription plan, which can be found in the Add/Edit subscription plan window's Plan Name field. 

[PLANFREQUENCY]

The frequency selection for the subscription plan, which can be found in the Add/Edit subscription plan window's Plan Frequency dropdown field.  

[ONETIMEFEE]

The price for the plan's one time fee, if one is included in the plan settings by toggling on the One Time Fee toggle and entering an amount to be charged once up-front. 

[TRIALDURATION]

The number of billing cycles for the plan's trial period, if included in the plan settings by toggling on the Trial Period and entering a price and duration.

[RECURRINGPRICE]

The amount to be charged on a scheduled, recurring basis pulled from the Plan Price field in the Add/Edit plan settings window. 

[STATEMENTDESCRIPTION]

The bank descriptor for the account as it will appear in the subscriber's bank statement when charged for the plan.
